The short version

• Schools are the data controller for their pupils’ information; ClearPanel processes it on their instruction.
• We store the minimum: a pupil’s name, date of birth, and their screening and session record. No photographs, no addresses.
• Data is stored in a UK (London) data centre, encrypted at rest and in transit.
• Pupil names and dates of birth are additionally encrypted on the school’s own devices before they reach us, with each school holding its own key. ClearPanel staff cannot read them, and the AI that writes summaries and reports is never given them.
• Access is role-based and enforced at the database level; every meaningful action is recorded in a tamper-proof audit trail.
• We do not sell data, use it for advertising, or share it with anyone other than the school it belongs to.
• Schools can export or delete their data on request at any time.
